Litigation Secretary (Senior-Level)
Location: La Jolla (UTC Area), San Diego, CA
Schedule: Full-Time | Hybrid (2 days onsite / 3 remote after onboarding)
Salary Range: $85,000 - $114,321 + Benefits
About the Role
A premier international labor and employment law firm is seeking an experienced Litigation Secretary to join our San Diego (UTC/La Jolla) office. This is a key support role responsible for ensuring seamless litigation operations while delivering exceptional service to attorneys and clients.
We are looking for a highly organized, detail-oriented professional with strong state and federal civil litigation experience, excellent technical skills, and a proactive, team-oriented mindset.
Key Responsibilities
- Prepare, revise, and format legal documents including briefs, pleadings, discovery, and correspondence
- Handle state and federal court filings (e-filing required), ensuring compliance with applicable rules
- Proofread all documents for accuracy, formatting, and completeness prior to filing or distribution
- Maintain and organize client files and document management systems
- Manage attorney calendars (Outlook and Milana), including deadlines, hearings, and appointments
- Perform docketing functions, including tracking and calendaring litigation deadlines
- Coordinate depositions, court reporters, videographers, and hearing schedules
- Schedule hearings with court clerks as needed
- Arrange attorney travel and logistics
- Process time entries, ensuring proper litigation code usage
- Prepare and track expense reimbursements and mileage
- Provide professional telephone and administrative support to assigned attorneys
- Review vendor invoices and submit accurate payment requests
Required Qualifications
- Minimum 5+ years of litigation secretary experience (required)
- Strong background in state and federal civil litigation (California experience required)
- Comprehensive understanding of the litigation lifecycle, including discovery
- Demonstrated experience with:
- E-filing systems (state & federal)
- Docketing and calendaring deadlines
- Preparing document shells, finalizing filings, and locating court rules
- Advanced proficiency in:
- Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Document management and time entry systems
- Familiarity with tools such as:
- Lexis Nexis, PACER, ECF
- Aderant Milana (CompuLaw-based calendaring)
- iManage, NetDocuments, Best Authority (a plus)
- Ability to create Tables of Contents and Tables of Authorities
- Strong proofreading, organizational, and multitasking skills
- High level of professionalism, adaptability, and willingness to learn (teachability)
Preferred Qualifications
- Experience in Labor & Employment litigation
- College degree (preferred, not required)
